4 Ways Law Firms Can Increase Productivity

A law firm – just like any other business – strives for efficiency. When menial tasks are handled quickly and efficiently, lawyers have more time to focus on what’s important: their clients and cases.

If your firm is struggling to be productive, these four tips can help.

1. Block Out Your Schedule

Multi-tasking is the enemy of productivity. Instead of bouncing back and forth between different tasks, block out your schedule and assign a task to each block. During that time-period – be it one hour, 15 minutes, or however much time is needed – you focus strictly on the task at hand.

Maybe you need to get some marketing done, or you need to work on an argument for a client’s case. Whatever it is you need to work on, dedicate a block in your day to it. Close out email, turn off your phone and shut out the world until you’re done. The world won’t come crashing down – I promise.

2. Delegate Menial Tasks

Everyone has tasks that they keep putting off. We might avoid them because we don’t want to do them, or we just might really not have the time to get them done.

In either case, delegating these menial tasks will help ease your burden and allow you to focus on getting more things done.

Start by creating a list of the tasks that you’ve been putting off or that you’d rather not do. Go through the list and cut out everything but the tasks that only you can do. Delegate the tasks you eliminated from the list. These are tasks that someone else can handle without affecting the core operations of your business.

Delegating menial tasks will save you time and frustration, and allow you to focus on important tasks. There are only so many hours in the day, and you can’t do everything.

3. Streamline the Work Flow

How do things get done in your office? If you’re doing things the old-fashioned way, you’re wasting precious time.

Find a way to streamline the work flow. Use collaborative tools that allow everyone to communicate and update documents at the same time. Invest in apps and software that help you better manage your work flow and keep things organized in one central location.

  • Digital documents eliminate the need to store and manage paper documents.
  • Practice management software allows for document storage and organization.
  • Create fillable forms on frequently-used documents.
  • Create templates for recurring tasks.

Automating and streamlining your firm’s work flow will help you get things done faster and with fewer hiccups along the way.

Firms can also streamline client communication by using applications that allow cases to be updated in real time and accessed by clients. Reyna Injury Lawyers, for example, keeps their clients in the loop about the status of their case at all times.

4. Automate Billing

Are you using a manual billing process? Manual billing wastes time and is vulnerable to human error. Under- or over-charging a client is bad for business. Automated billing will not only save you time, but also minimize the risk of errors.

An automated billing program should:

  • Offer easy invoicing
  • Include a timekeeping system
  • Be compatible with multiple timekeepers
  • Be flexible in allowing you to include special billing arrangements for certain clients
